The World Bank, Burundi Office in Bujumbura requires the assistance of a qualified, honest, client service oriented temporary person, highly organized, energized, dynamic and capable of operating effectively in a very demanding fast-paced environment, to provide support to the Resource Management (RM) Unit.
Scope of work :
Under the direct supervision of the Acting Resource Management Analyst (Head of Finance & Administration), the STT will carry out the following functions :
• Provide primary assistance and support to the Resource Management Team in processing administrative tasks.
• Prepare documentation for posting of purchase orders, goods receipt, service entry sheets,direct payments in SAP and epayables-the Bank’s accounting and operations software.
• Maintain regular communication with staff in other World Bank Offices supporting the transaction processing for Burundi Office in terms of posting of purchase orders, goods receipt, service entry sheets and posting of invoices through epayables system
• Prepare manual purchase orders according to laid down procedures.
• Handle routine document preparation such as checks writingand transfer orders.
• Prepare the VAT claims to submit to the Burundi Revenue Authority-OBR on a monthly basis.
• Follow up closely the reimbursement of the VAT claims submitted and advise the Resource Management Team for further actions if reimbursement has not taken place within the standard period.
• Perform proper filing of administrative and accounting documents
• Respond in a timely manner to requests for documents filed away
• Manage visitors’ electronic keys
• Coordinate the movement of office vehicles
• Custodian of vehicle fuel smart cards.
• Monitor vehicle fuel consumption and maintenance costs.
• Manage and monitor fuel consumption of vehicles rented to support various missions
• Manage office supplies : verification of goods received, control of stocks and supplies distribution to staff.
• Perform physical assets inventory verification, assets tagging and monitoring of asset movements within the office.
• Prepare required documents for custom clearing of various office supplies, material and equipment sent to the Country Office.
• Provide support to Internationally Recruited Staff (IRS) including processing of visa, resident permit, work permit and other relocation issues.
• Ensure that contractors’ employees in charge of cleaning, gardening, garbage collection and other maintenance services are working as per the contract
• Assist the Resource Management Team in routine secretarial work.
• Perform other tasks assigned by the supervisor
Minimum requirements
• A high school diploma or equivalent with 2 years of experience in a similar position.
• Basic accounting knowledge.
• Thorough knowledge of the World Bank or other International Organizations is an added advantage.
• Thorough understanding, or ability to quickly gain an understanding, of the Country Office business activities and overall objectives and understanding of the broader World Bank context in which it works.
• Thorough knowledge and use of all relevant computer software, including advanced functions of computer applications such as Microsoft Office, Lotus Notes, Internet and ability to help organize data and information retrieval systems.
• Strong interpersonal skills in order to deal tactfully and effectively with internal and external clients at all levels.
• In addition to French, the ability to read, write and speak English is an added advantage
• Strong written and verbal communication skills, ability to draft routine correspondence.
• Proven ability to work effectively in a team-oriented, multi-cultural environment.
• Exceptional degree of integrity, judgment and tact in handling sensitive and confidential materials.
